Best Airtable Alternatives for Business Apps (2026)

A sales team keeps its pipeline in an Airtable base. It looks great. Then finance asks for an approval step on big discounts. Legal wants only two people to see contract terms. Someone asks, "Can the app ping the manager and wait?" The base can store the data. The rest gets awkward. So the hunt for Airtable alternatives begins.

Let's be straight about how this article works. We could not read every vendor's pricing page, so we do not quote competitor prices at all. We describe each option only as far as the sources we found support. Please check each vendor's own site before you decide. Ours is open. The lifetime license options are listed on the KodeFlex pricing page.

Why teams look for Airtable alternatives

Airtable is a popular tool, and plenty of teams are happy with it. Nobody here is telling you to leave. But a few patterns keep coming up when teams start comparing.

  • The database is the product. Airtable is built around tables and views. When your real need is a process, with steps and owners, you end up bolting things on.

  • Approvals feel like a workaround. A status column is not an approval. Nobody is asked, nobody is chased, and nothing is logged.

  • Permissions get fiddly. Showing one team only its own rows, and a manager everything, is a common request. Check how each tool handles it.

  • Cost as the team grows. More people means a bigger bill with many tools. Check how each vendor charges, because plans change.

If none of that sounds like you, stay where you are. If two or three do, read on.

Airtable alternatives at a glance

Here is what our sources support, and what you need to check yourself. We chose these six because they come up again and again in Airtable comparison articles and vendor blogs. We have not tested them side by side, so this is not a ranking.

1. KodeFlex

KodeFlex is an AI development platform and app builder from EasySoft INC., aimed at enterprise collaboration. On its product page, it says you describe a business need in plain language and it generates a runnable app with the frontend, backend and approval flows.

Strengths. The page lists a visual workflow engine with form design, approval paths, rules and conditional branches. It also lists live preview, debugging, version control and one-click release. A private deployment option is available. Several instances can run from one app. It is built for the thing that makes people leave a database tool, which is a process with steps and owners.

Limits. It is for internal business apps. It is not a spreadsheet clone, and it is not for consumer apps. The public pages do not list a catalog of connectors, so ask about importing data from Airtable in a demo. We have not found an import feature described, and we won't pretend one exists.

2. Baserow

Baserow shows up in many Airtable comparisons. Its own blog has a post titled "Airtable vs. Baserow: the ultimate showdown", and ClickUp, Softr and others have written comparisons of the two. ClickUp's title calls it a no-code database tool.

Worth checking. That is about all our sources let us say with confidence. Look at its site for plans, record limits, self-hosting options, and whether approval steps are built in or need a workaround. If you like Airtable's spreadsheet feel, this is a natural one to try first. Run your own data through it.

3. NocoDB

Third-party write-ups describe NocoDB as an open source, self-hosted Airtable alternative. One article puts it as "open source Airtable" with an API over your databases.

Worth checking. Open source can mean free to run. It can also mean you run it. Count the setup, upgrades and backups, and ask who will handle them. Then check its site for roles, permissions and any workflow features. A database front end and an approval workflow are different jobs.

4. Smartsheet

Smartsheet is compared with Airtable on sites such as monday.com, Jotform and tech.co. One search result even asks which is better for automation in 2026. That tells us people consider the two as rivals, not what either does best.

Worth checking. We have not verified its feature set from its own pages. Ask about approval workflows, how permissions work, and what plan limits apply to automations.

5. Softr

Softr publishes guides about database alternatives to Airtable and about Airtable interface alternatives. That points to a different slice of the problem. Teams often like Airtable as the data store and want a better front end on top.

Worth checking. If your data is fine and only the screens are the issue, this kind of tool deserves a look. Check what data sources it supports.

6. Budibase

Budibase has its own blog post about Airtable alternatives. A vendor post is a pitch, so read other lists too.

Worth checking. Look at its site for hosting options, workflow and automation features, and how it charges. Don't assume anything about limits until you have read them.

How to choose between Airtable alternatives

Skip the feature checklists. Everyone says yes to everything. Ask these questions instead.

  • Is it a database problem or a process problem? If you mostly store and sort records, a database tool is fine. If records move through steps and people, you need workflow.

  • Who needs to approve what? Write the approvals down. Then see how each tool handles them without tricks.

  • Who sees which rows? Test a real permission rule, not a demo one.

  • Where must the data live? Check hosting options early.

  • How do you get your data out and in? Ask how to import your current tables. Ask how to export later, too.

  • What is the real cost? Add users, plan limits, hosting and the time to run it.

Honestly, run a small pilot with two tools. One real workflow. One week. You will learn more than any comparison page can tell you, including this one.

Where KodeFlex fits among the Airtable alternatives

KodeFlex fits when your pain is approvals, permissions and handoffs across teams. Think purchase requests and order approvals. You describe the process, get a first version, and refine the forms and rules visually.

On cost, KodeFlex sells licenses with user and app caps rather than a price for every seat. The lifetime license options listed today are Team at $1,499 (50 users, 20 apps), Professional at $2,499 (120 users, 50 apps) and Enterprise at $3,199 (unlimited). Annual plans start at $3,699. The page says support, updates, installation and migration come with the lifetime plans. Plans change, so check the page.

Where KodeFlex does not fit

Worth saying plainly.

  • It is not a spreadsheet. If your team lives in grid views, kanban boards and quick formulas, a database style tool will feel more natural.

  • It is not for consumer apps. KodeFlex is for internal business apps, not public products or graphics heavy ones.

  • Migration is a question mark. The public pages do not describe an Airtable import. Plan to rebuild your data model, and ask about data loading in a demo.

  • Integrations are unclear. No connector catalog is listed. If you rely on many third-party tools, ask first.

So choose carefully. A team that only needs a shared table should not buy a workflow platform. A team that keeps patching approvals onto a table probably should.

An illustration: a purchase request base

This is an illustration, not a case study. Picture a 40 person company that tracks purchase requests in an Airtable base. Staff add a row. A manager changes a status column. Finance checks it later in a view. Requests over a certain amount sometimes slip through because nobody was asked.

Here is how a team in that spot might rebuild it. The request form becomes a proper app screen. Requests under a limit go to the team manager. Larger ones go to finance as well. A rejection needs a comment. Finance sees only approved requests. The data model is small, the rules are clear, and nobody has to remember to chase anyone.

Checklist before you switch

  • One page that lists your tables, who edits them and who only reads.

  • Your approvals written out, with amounts and owners.

  • Your permission rules, in plain words.

  • An export of your current data, saved somewhere safe.

  • Pricing and limits checked on each vendor's own site, this week.

  • A one week pilot on a single real workflow.

Frequently asked questions

What are the best Airtable alternatives in 2026?

Six worth a look are KodeFlex, Baserow, NocoDB, Smartsheet, Softr and Budibase. Which one wins depends on whether your problem is a database or a process. We have not tested them side by side, so run your own pilot.

Is there a free Airtable alternative?

Some tools describe open source or free options, and NocoDB is called open source in third-party write-ups. Check each vendor's site for current plans. Free software still costs time to run, so count that too.

Which Airtable alternative is best for approvals?

Look for a tool where approval is a real step with an owner, a comment and a log, not a status column. KodeFlex is built around approval flows and rules. For the others, check their own sites.

Can I import my Airtable data into KodeFlex?

The public pages do not describe an Airtable import. Plan to rebuild your data model, and ask about data loading in a demo. Export your Airtable data first so you have a safe copy.

Is Airtable still worth it?

For many teams, yes. If you mostly store and view records, it may be all you need. Look elsewhere when approvals, permissions or hosting start to hurt.

How much do Airtable alternatives cost?

It varies a lot, and we do not quote competitor prices here. Check each vendor's own pricing page. KodeFlex lists licenses with user and app caps. See the KodeFlex pricing page for today's numbers.

Do I need a developer to switch?

Not always. With a prompt based builder you describe the process and refine it visually. You still need someone who knows the process, because a tool cannot decide who approves what. See the KodeFlex product page.

Want to compare Airtable alternatives on your own workflow?

Bring one process that keeps getting stuck. We will show you how it looks as a working app. Request a KodeFlex demo, download KodeFlex, or see the KodeFlex home page first.
